Approvals and checks
The box stops a worker at three points, depending on the autonomy level of the action:
- Approval (“Asks you first”, “Always asks, with a reason”): the worker asks before it acts. Every protected action asks by default: publish, send messages outside, spend money, chain actions, use credentials, deploy.
- Check (“Waits for your check”): the run finishes, but its result is held until the administrator accepts it.
- Notice (“Tells you after”): the worker acts, and the administrator reads a notice afterwards.
Who can do this
Section titled “Who can do this”- Only the administrator approves, refuses, accepts and sends back.
- Members see on their run card: “Waiting for the CEO administrator to decide.” or “Waiting for the owner’s check”.
Before you start
Section titled “Before you start”The worker must hold the permission for the action. A worker without it is refused at once and the run fails.
Decide an approval
Section titled “Decide an approval”- Open the run card in Chat, or the tab Approvals, panel Waiting for your decision.
- Read the block “… asks to …”: the level label, what the worker wants to do, the limit if there is one, and what it wrote.
- Press Approve or Refuse.
- A reason field appears. For “Asks you first” it has a default text; change it if you want. For “Always asks, with a reason” the field says Reason (required) and you must write one: “This action always asks, and your decision needs a reason.”
- Press Confirm approve or Confirm refuse within 10 seconds.
Decide a held write
Section titled “Decide a held write”When “Writes company knowledge” or “Changes the workboard” is set to “Asks you first” or higher, the worker writes nothing until you decide. The approval card says “Nothing is written yet. Approve writes it exactly as shown; Refuse writes nothing.” and shows what would be written.
- Read what would be written.
- Press Approve (the box writes it now) or Refuse (nothing is written, the run goes on), then confirm.
Decide a held hand-off
Section titled “Decide a held hand-off”When “Hands work to other packages” is set to “Asks you first” or “Always asks, with a reason”, a worker that wants to hand part of its task to another worker waits for you. The approval card shows “hand this task to” the other worker with the full task text, and the note “Nothing starts yet. Approve hands this task over exactly as shown (the other package works with its own permissions); Refuse starts nothing.”
- Read the task text that would be handed over.
- Press Approve (the other worker starts it) or Refuse (nothing starts), then confirm. “Always asks, with a reason” needs a reason.
Check a finished result
Section titled “Check a finished result”A run at “Waits for your check” shows “Waiting for your check” on its card and on the tab Approvals, panel Waiting for your decision.
- Read the result and the files on the card.
- Press Accept. A field Note (optional) appears. Press Confirm accept. The run is finished, and its result is shown to everyone who may see the run.
- Or press Send back. Write in Note for the package what the worker should change (required), then press Confirm send back. The worker gets one rework turn with your note. Then the result waits for your check again.
A run can be sent back only once. The second time the card says “Sent back once already: accept it, or cancel the run.”
Read notices
Section titled “Read notices”- Open the tab Approvals, panel Tells you after. It lists what workers did on their own at “Tells you after”: writes to company knowledge and the workboard, and comments, issues and pushes in repositories.
- Press Mark all as seen when you have read them.
The run card also shows each notice as “Told you after: …”.
Grant a standing approval
Section titled “Grant a standing approval”A standing approval lets one installed worker do one protected action without asking, up to a limit.
- Open the tab Approvals, panel Grant a standing approval.
- Choose the Package (the installed worker).
- Choose the Action: Publish, Send messages outside, Spend money or Chain actions.
- Enter the Limit per calendar month: a number of times, or an amount for Spend money.
- Choose Expires on. The box suggests three months from today.
- Optional: write a Note (optional).
- Press Grant.
“Use credentials” and “Deploy” always ask, with a reason, so they have no standing approval. A worker whose action you raised to “Always asks, with a reason” is not covered by a standing approval either.
Revoke a standing approval
Section titled “Revoke a standing approval”- In the table Standing approvals, press Revoke.
- Press Confirm revoke. “Revocation takes effect immediately.”
What you see afterwards
Section titled “What you see afterwards”- Approve: the worker continues and carries out exactly the approved action. The card shows “Action …: approved by …”.
- Refuse: for a protected action, the run fails with “Refused by your name: your reason”. For a held write, nothing is written and the run goes on.
- Accept: the run shows “Finished” and “Result accepted by …”. A member now sees the result and the files.
- Send back: the card shows “Sent back for one rework turn by …: your note”, and the run works again.
- A request covered by a standing approval shows “covered by a standing approval” and does not wait.
- Standing approvals lists each grant with Limit, Used, Expires, Granted by and Status. A grant for an action that always asks shows “not used: this action always asks”.
Checks
Section titled “Checks”While a result waits for the check, a member who started the run sees “The result waits for the owner’s check. You see it once the owner accepts it.” The member cannot open the run’s files until then. If the run is cancelled before Accept, the result stays hidden: “The run was cancelled before the owner accepted its result.”
A check holds the result, not what the worker already did. Files in its workspace, a knowledge revision, a workboard change, or a comment, issue or branch on GitHub stay as they are. An earlier knowledge revision can be restored; GitHub items can be closed or deleted on GitHub.
Your choices
Section titled “Your choices”| Choice | What it does | When to pick it | Can you undo it? |
|---|---|---|---|
| Approve | The worker does the action, or the held write is written. | You agree with exactly what is shown. | No. |
| Refuse | Nothing is done. A refused protected action fails the run. | You do not agree, or the description is unclear. | No. Start a new task. |
| Accept | Releases the held result. | The result is right. | No. |
| Send back | One rework turn with your note. | The result needs a change. Once per run. | No. |
| Grant | The worker does this action without asking until the limit or the expiry. Over the limit it asks again. | A repeated, low-risk action. | Yes: Revoke. |
A standing approval covers one installed worker. A second install of the same package needs its own standing approval.
